Who we are and what this policy covers
This policy explains how Potters Medical Center, part of Potters Medical Group, handles information through this website, online scheduling, website chat, and SMS/MMS messaging. The messaging sender may be identified as Potters Medical Group PC. This website policy does not replace the practice’s Notice of Privacy Practices or describe every use of medical records. Request the practice’s Notice of Privacy Practices from the office.
Information collected
When you submit an appointment request, chat, or messaging opt-in, we receive the information you provide, such as your name, phone number, email address, selected service, appointment date and time, message content, and consent choices. Our service providers may retain submission timestamps and technical records needed to document consent and deliver the service. Hosting and embedded services may process IP addresses, browser/device information, cookies or similar storage, and request logs needed to operate and secure their services.
How information is used
We use information to respond to inquiries, arrange appointments, provide requested administrative support, manage communication preferences, maintain consent and opt-out records, and operate and protect the website. If you separately opt into promotional texts, we may send practice news, service information, and offers within that consent. Providing a phone number or booking an appointment does not by itself authorize marketing texts.
SMS consent and mobile information
Informational/transactional and promotional SMS consent choices are separate and optional. They are not preselected, and SMS consent is not a condition of purchase or receiving care. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help. See our SMS Terms for additional details.
We do not sell or rent your personal information. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent will not be shared with third parties, except service providers necessary to operate and deliver the messaging program. We do not transfer consent to another business’s marketing program.
Service providers and other disclosures
We use providers for website hosting, calendar scheduling, customer communications, and message delivery, including HighLevel / LeadConnector and its delivery providers. These providers process information needed to perform those services. We may also disclose information when required by law or as necessary to protect safety, prevent fraud, and protect legal rights. These disclosures do not authorize a third party to use SMS consent for its own marketing.
Scheduling, chat, and medical information
Use the appointment calendar and chat for scheduling and general administrative questions only. Do not submit symptoms, medical history, records, insurance identification numbers, or other sensitive medical information through chat, scheduling notes, ordinary email, or SMS. Contact the office for an appropriate way to communicate clinical information. These channels are not emergency services; call 911 for a medical emergency.
Cookies, embedded services, and external links
No advertising pixels or website analytics scripts have been added by the practice to this site. Embedded chat and scheduling providers may use their own cookies, browser storage, and technical information to operate their services. Browser settings can limit storage, but doing so may affect functionality. External websites and providers have their own privacy policies.
Retention, security, and your choices
We retain information as needed for its purpose, consent documentation, applicable recordkeeping obligations, and dispute resolution. We use reasonable safeguards, but no internet transmission or storage method can be guaranteed completely secure. Contact us to request access to or correction of information you submitted, ask about deletion where applicable, or update your communication preferences. Some records may need to be retained under applicable obligations. We may verify your identity before acting on a request.
Children’s information
This website and its messaging opt-in are intended for adults arranging care for themselves or dependents. Do not submit a child’s sensitive information through these website channels. A parent or guardian should contact the office about appropriate scheduling and communications for a minor.

Updates will appear on this page with a revised effective date. A policy update does not create new SMS consent. For questions about privacy or communication preferences, contact:
